Personal Assistant to Partners (PAP)
Responsible to assist and interact with partners on a variety of daily, ad hoc and long term office administration issues.
Accounts:
- Manage and be responsible for accounts payable (billings), accounts receivable, staff payroll & CPF, petty cash and overall studio cash flow
- Initiate and obtain monthly project billing projections from Project Design Managers and partners
- Manage reimbursable project expense claims
Human Resources
- Assist to obtain insurance policies for Life, Accident, Hospitalization, Professional Liability
- Establish and maintain personnel files
- Assist partners to prepare employment letters/ termination letters
- Prepare applications for and facilitate obtaining work permits, permanent residency, etc, as required
- Process incoming and outgoing studio team members
- Monitor probationary status and employment anniversaries and remind partners of critical dates
- Record all leave benefits and allowances
Marketing & Business Development
- Assist to prepare, issue and follow -up on professional service proposal letters and draft contracts
- Prepare and maintain databases such as contact details ( clients, consultants, operators, contractors, suppliers etc), completed and ongoing projects, hotel operators and fact sheets on the latest hotel & resorts
Studio Operations & Maintenance
- Help select preferred vendors for printing, supplies, bottled water, cleaning, etc.
- Assist to obtain appropriate studio equipment & supplies such as photo copiers, stationery, etc.
- Assist to generate the format of standard studio forms, specifications, etc.
- Assist to answer and direct telephone calls and studio email
- Interact with incoming clients, guest, suppliers, couriers, etc. at reception
- Coordinate overseas travel arrangements for partners and fellow team members
